1. Introduction and Scope
The site or app you are using is part of the Eventdoor service, operated by Eventdoor LLC ("Eventdoor," "we," "us"). Businesses and organizations publish their events through Eventdoor, and the pages where their events appear may carry their branding. Whatever branding you see, you are using one Eventdoor service under this Privacy Policy: we operate the sign-in system and your account, we deliver and store the video, and we send account email.
This Privacy Policy explains what information the platform collects, how it is used and shared, and what choices you have. Use of the platform is also governed by our Terms of Service. The Eventdoor service is intended for people 13 and older.
What this policy covers: the Eventdoor platform and the sites and applications operated on it, including:
- branded sites on the Eventdoor platform, including sites a business runs on its own custom domain; and
- the Eventdoor mobile app.
How to know whether you are covered: if the site you are using links to this policy in its footer, or the app links to it in its settings, this policy applies to you.
The businesses and organizations that publish their events through Eventdoor manage those events and the content they publish. Section 2 (How the Platform Works and Who Is Who) explains the roles; Section 6 (Data Handling Across Sites) explains how information is handled across sites.
2. How the Platform Works and Who Is Who
Understanding four roles makes the rest of this policy easier to read:
- Tenant. A business or organization customer of Eventdoor whose branded site, part of the Eventdoor service, you use.
- Organization. A group that runs events within a Tenant's site.
- Broadcaster. A person authorized by an Organization to stream live video. Broadcasting captures the Broadcaster's camera and microphone.
- Viewer (or Guest). Anyone watching. No account is needed to watch, on the web or in the app.
The Eventdoor mobile app is for viewing only. It has no camera, microphone, location, or contacts access.
Live broadcasts on this platform are recorded. Section 3.3 (Live Broadcasts and Recordings) explains exactly what is captured and what becomes a watchable replay; Section 8 (Data Retention) explains how long recordings are kept.
3. Information We Collect
Information reaches us in three ways: you provide it (account details, videos you upload), the platform generates it as it runs (recordings, usage information, logs), or someone else provides it about you (an invitation, footage you appear in).
3.1 Account and profile information
When you have an account, we hold your email address, username, and display name. Your display name may be pre-filled from your sign-in record, which can mean it shows your real name. A profile may also include a bio and profile images (avatar, banner, watermark, poster), and has a visibility setting. Section 6 (Data Handling Across Sites) explains what that setting does and does not do.
Your password is handled by the sign-in system we operate.
3.2 People without accounts
- Invitations. A Tenant or Organization can invite you to the platform by entering your email address. If you do not already have an account, this creates a sign-in record and sends you a set-up email.
- Guests and visitors. You can watch without an account. In the app, guest browsing sends the usage information described in Section 3.6, including a device identifier. On the web, visits appear in our server logs (Section 3.6), and your device connects directly to our video providers when you watch (Section 5.2).
- Access requests. If you submit our request-access form, we collect the name, work email, organization, and message you provide, and use them to respond to your inquiry.
3.3 Live broadcasts and recordings
Every live broadcast is recorded. From the moment an Organization is created on the platform, the video segments of each of its live streams are automatically saved to the Organization's cloud storage. This happens whether or not the broadcast was scheduled.
Scheduling controls replays, not recording. When a broadcast has a scheduled end time, its saved segments are also assembled into a replay (a video-on-demand recording, or VOD) that can be browsed and watched on the site. A broadcast without a scheduled end time is recorded but does not produce a browsable replay.
Only the Broadcaster's camera and microphone are captured. Watching a broadcast does not record you.
Broadcast titles and descriptions are free text and may contain personal information.
Section 8 (Data Retention) explains how long recordings are kept.
3.4 Uploaded videos and thumbnails
When a video is uploaded, we receive the file and its details (file name, type, and the Organization it belongs to). Our video provider (Section 5.1) transcodes it for playback. If the uploader does not set a poster image, the thumbnail is a frame taken from the video, so if a person appears in that frame, they will appear in the thumbnail. Recordings of live broadcasts use whatever poster image the Broadcaster set; no frame is extracted from them.
3.5 Content reports
We keep records of reports about broadcasts for moderation review. A report record identifies the reporting account, a report category, and an optional short description, and administrators can see it. To report content, email us at the addresses in Section 14 (Contact Us).
3.6 Usage, device, and diagnostic information
- Mobile app. From its first launch, before any sign-in, the app sends usage information to our servers. This information includes: a random device identifier created on first launch and kept until the app's data is cleared; your account ID and display name once you sign in; which organization's site you are viewing; and app events such as launches, sign-ins and sign-outs, links you open, playback problems, and errors.
- Web. The covered sites do not run third-party analytics or advertising services in production.
- Servers. Our servers keep operational logs. Logs can include your IP address, the pages and videos requested, and, for signed-in activity, account identifiers such as your username or email address. We keep these logs as long as needed to operate and secure the platform.
3.7 Cookies and on-device storage
Section 7 (Cookies and Similar Technologies) lists every cookie and storage item the platform uses.
3.8 What we do not collect
We do not collect:
- precise location;
- your contacts, photos, or calendar;
- your date of birth, age, or phone number;
- camera or microphone input from Viewers (broadcasting captures only the Broadcaster; see Section 3.3);
- browsing history outside the covered sites and app.
The covered sites and app contain no advertising or tracking SDKs. Section 7 (Cookies and Similar Technologies) describes the cookies and storage that do exist.
4. How We Use Information
We use the information described in Section 3 (Information We Collect) to:
- operate accounts and the covered sites and app;
- deliver, record, store, and stream video (Section 3.3);
- send account emails (invitations and password set-up and reset messages) through our sign-in system;
- review content reports and enforce our Terms of Service;
- secure the platform, prevent fraud and abuse, and diagnose problems;
- comply with legal obligations.
We do not use personal information for advertising. We use personal information only for the purposes this policy describes.
5. How We Share Information
5.1 Service providers
We share information with the providers that run parts of the platform, and we share only what they need to provide their service:
- Video delivery. Our video provider receives the Broadcaster's live audio and video to ingest, transcode, and deliver, and delivers live streams and uploaded videos to viewers. For each broadcast session, it receives the Broadcaster's account username and the broadcast title, and it can write recordings to the Organization's cloud storage.
- Cloud storage. Our storage provider stores the platform's media (recordings, uploads, and images) and delivers archived-broadcast replays to viewers through time-limited (24-hour) signed links.
- Email delivery. Our email provider relays the account emails our sign-in system sends (invitations and password set-up and reset messages) and so processes recipients' email addresses.
Our sign-in system is operated by us and is not a third party.
5.2 Providers your device connects to directly
When you watch, your device fetches video directly from our video and storage providers. When a site uses a themed font, your browser or the app loads it from a font provider. And when a Tenant or Organization adds its own images or embedded content to its pages (sponsor logos, banner images, embeds), your device loads that content from whatever host that Tenant or Organization chose. In each case, the host your device connects to sees your IP address and basic device information.
5.3 Our personnel, Tenants, and Organizations
Our own personnel can access account and identity information across the covered sites for operations and support. Administrators of a Tenant or Organization can see member information and content reports for their site.
5.4 No sale, no advertising sharing, and disclosures required by law
We do not sell personal information, and we do not share it for targeted advertising or cross-context behavioral advertising.
We may disclose information when required by law, for example in response to a subpoena or court order, or when necessary to protect the safety, rights, or property of users, the public, or the platform.
If Eventdoor LLC is involved in a merger, acquisition, financing, or sale of assets, information may be transferred as part of that transaction. This policy continues to apply to that information unless and until it is changed as described in Section 13 (Changes to This Policy).
6. Data Handling Across Sites
The Eventdoor service includes many separately branded sites. Here is how your information behaves across them:
- One sign-in system. Your account is managed in one sign-in system that we operate across the covered sites. One account can be used on more than one covered site; accounts are not isolated to a single site.
- Separate content systems. Each site deployment keeps its content and business data in its own systems.
- Profiles. The platform's member listing can be viewed by anyone, without signing in. Setting your profile to private hides your individual profile page, but it does not remove your username and display name from that listing. To have that information removed, ask us to delete your account; Section 10 (Your Rights and Choices) explains how.
- Broadcasts and replays are public. Anyone who can reach a covered site can watch its broadcasts and replays. No account is needed to watch.
7. Cookies and Similar Technologies
The platform uses only the cookies and on-device storage below, for signing in and remembering preferences. We use no advertising cookies, no third-party tracking scripts, and no fingerprinting. Because of that, the covered sites do not show a cookie consent banner. We do not respond to Do Not Track signals.
| Technology | Where | Purpose | How long |
|---|---|---|---|
Sign-in session cookie (__Secure-…session-token; exact name varies by site) | Web | Keeps you signed in. Contains your encrypted session details (account ID, name, email, roles). | Your sign-in session |
sidebar_state cookie | Web | Remembers a layout preference. | 7 days |
| Player preferences | Web (browser localStorage) | Remembers your volume and quality settings. | Until you clear browser data |
| Sign-in tokens | App (device secure storage) | Keep you signed in; sent only to our sign-in service. | Until you sign out |
| Device identifier | App (device secure storage) | A random ID created on first launch; included with the usage information described in Section 3.6. | Until the app's data is cleared |
| Sites list | App (device storage) | Remembers which organization sites you have opened. | Until you clear the app's data |
Direct network connections to video and font providers, which are not cookies but do expose your IP address, are described in Section 5.2.
8. Data Retention
How long we keep information depends on what it is:
- Recordings and uploaded videos. Kept until an Organization administrator deletes them or the Organization's storage is taken down.
- Recorded segments of unscheduled broadcasts Kept in the Organization's storage until that storage is cleaned up or taken down.
- Account and profile data. Kept until you ask us to delete your account. Section 10 (Your Rights and Choices) explains what deletion removes.
- Invitation email addresses. Kept until deleted.
- Content reports. Kept until the broadcast they concern, that broadcast's Organization, or the reporting account is deleted.
- Server logs. Kept as long as needed to operate and secure the platform.
Videos and other media you created may remain in an Organization's storage after your account is deleted.
9. Data Security
We use technical and organizational measures to protect information, including encryption of data in transit and access controls on administrative systems. No online service can guarantee absolute security, and we do not promise that ours is an exception. If you believe your account has been compromised, contact us. Section 14 (Contact Us) has our addresses.
10. Your Rights and Choices
To make any request in this section, email privacy@eventdoor.com.
- Access and correction. You can ask us for a copy of the information we hold about you and ask us to correct information that is wrong.
- Deletion. You can ask us to delete your account. Deleting your account removes your profile; media you created may remain in an Organization's storage, as described in Section 8 (Data Retention).
- A copy of your data. On request, we will provide a copy of the information you gave us in a portable format.
- Verification. We take reasonable steps to verify your identity before acting on a request, for example by confirming that you control the email address on the account. We may decline a request we cannot verify.
- Authorized agents. You may have an authorized agent submit a request for you. We will ask for proof of the agent's authority and may also verify your identity directly.
- Timing. We confirm receipt of a rights request within 10 business days and respond within 45 calendar days. If we need more time, up to 45 additional days where the law allows, we will tell you why.
- Appeals. If we deny your request, you can appeal by replying to our response. We respond to appeals within 60 days. If we deny your appeal, you may contact your state's Attorney General.
- No retaliation. We do not treat you differently for exercising privacy rights.
- Profile visibility. Section 6 (Data Handling Across Sites) explains what the profile visibility setting does and does not do.
11. US State Privacy Rights
If you live in California, Colorado, Connecticut, Nevada, Virginia, or another state with a comprehensive privacy law, you may have the rights to: know and access the personal information we hold about you; correct it; delete it; receive a copy of it in a portable format; appeal a denial; and opt out of the sale of personal information, targeted advertising, and certain profiling.
These opt-out rights do not apply to Eventdoor's practices. We do not sell personal information, do not use it for targeted advertising, and do not use it for profiling that produces legal or similarly significant effects. For the same reason, we do not provide a "Do Not Sell or Share My Personal Information" link, and opt-out preference signals such as Global Privacy Control have no processing to control. We do not create de-identified data sets from personal information.
How to exercise these rights. Use the process in Section 10 (Your Rights and Choices), which also describes verification, authorized agents, response timing, and appeals. You may also request the list of the specific third parties we have disclosed personal information to; Section 5 (How We Share Information) describes the providers involved.
California categories collected (preceding 12 months):
- Identifiers: email address, username, the app's device identifier.
- Internet or other electronic network activity: app usage events and server logs (Section 3.6).
- Audio and visual information: live-broadcast recordings, uploaded videos, and thumbnails.
- Other information you provide: profile bio, broadcast titles and descriptions, report text.
- Inferences: none.
Sources: you; the Tenants and Organizations that invite you or run events you appear in; your device, automatically; and the platform itself (recordings, thumbnails). We disclose these categories for business purposes to the providers described in Section 5 (How We Share Information). We have not sold or shared personal information in the preceding 12 months.
Sensitive personal information. We do not ask for sensitive personal information. Recordings and free-text fields can incidentally contain sensitive information about people who appear in them or are described in them; we use that content only to operate the platform and do not use it to infer characteristics about anyone. The right to limit the use of sensitive personal information therefore does not apply.
Nevada. Nevada residents may ask us not to sell their covered information by emailing privacy@eventdoor.com. We do not sell covered information.
12. Where Information Is Hosted
We host and process information in the United States. The platform is operated from, and directed to, the United States. The covered sites and app do not restrict where visitors come from; if you use them from outside the United States, your information will be processed in the United States.
13. Changes to This Policy
When we change this policy, we update the Last Updated date and version number at the top. Changes take effect when we post them, and the Effective date shows when the current version began to apply. If we make material changes, we will provide notice through the covered sites.
